KeyInOut is a commercially available subscription service. Paid plans are offered through the service and payments are processed by Stripe.
01Operator and agreement
KeyInOut is operated by Alexander Arfs, Sweden ("KeyInOut", "we", "us"). General enquiries can be sent to support@keyinout.com. By creating an account, joining a workspace or using KeyInOut, you agree to these Terms. If you use KeyInOut for an organisation, you confirm that you are authorised to accept these Terms on its behalf.
02The service
KeyInOut is software for managing physical keys, including key records, locations, holders, check-outs, returns, due dates, QR labels, reminders, activity history, team access and data exports. We may improve, change or replace features over time.
03Accounts and access
You must provide accurate account information and protect your login credentials. Accounts are personal and should not be shared. Workspace owners and administrators are responsible for inviting appropriate users, assigning suitable roles and removing access when it is no longer required.
04Customer responsibilities
The customer organisation controls the business data entered into its workspace and is responsible for its accuracy, lawfulness and appropriate use. Customers must have a lawful basis for entering personal data about employees, contractors or other people.
KeyInOut is an administrative aid. Customers remain responsible for physical key-control procedures, access decisions and appropriate contingency procedures.
05Acceptable use
You must not use KeyInOut unlawfully; access or attempt to access another organisation's data; probe, bypass or defeat security controls without written permission; introduce malware; deliberately overload or disrupt the service; automate abusive traffic; misrepresent your identity or authority; or infringe another person's rights.
06Customer data and privacy
As between KeyInOut and the customer, the customer retains responsibility for and control of its workspace content. We process that data as necessary to provide, secure and support the service, comply with law, or as described in the Privacy Notice. Where KeyInOut processes personal data on behalf of a customer, the Data Processing Agreement applies.
07QR labels and public return information
QR identifiers are convenient references, not authentication credentials. Customers are responsible for deciding where labels are placed. If a customer enables public found-key return information, the customer is responsible for the contact information it chooses to publish.
08Free trial
New workspaces may receive a 14-day free trial. A trial does not create a payment obligation unless the workspace owner actively selects a paid plan and completes the payment flow. Trial availability and scope may change for future registrations.
09Plans, prices and payment
Paid plans, included limits, billing intervals and current prices are shown on the KeyInOut website and in the billing interface before purchase. Payments are processed by Stripe. KeyInOut does not receive or store full payment-card numbers. Taxes or other legally required charges may apply depending on the customer and transaction.
10Renewal and billing
Paid subscriptions renew automatically for the selected monthly or annual billing period until cancelled. By purchasing a subscription, the workspace owner authorises the recurring charges shown at checkout. If a recurring payment fails, Stripe may retry the payment. Access may be restricted or the subscription may be cancelled if payment remains unsuccessful.
11Plan changes
Upgrades may take effect immediately and may result in a prorated charge or credit. Downgrades and changes to a shorter billing interval may be scheduled for the end of the current billing period. The amount and effective date shown before confirmation govern the requested change.
12Cancellation and refunds
The workspace owner may cancel a paid subscription through the available billing controls. Unless otherwise stated at cancellation, access to the paid plan continues until the end of the already-paid billing period and the subscription will not renew after that date. Fees already paid are generally non-refundable except where required by applicable law or where KeyInOut expressly agrees otherwise.
13Availability and changes
KeyInOut aims to provide a reliable and secure service but does not guarantee uninterrupted availability, a particular service level or error-free operation unless a separate written agreement states otherwise. Planned maintenance, security measures, technical faults or circumstances outside our reasonable control may temporarily affect availability. Customers should maintain reasonable alternative procedures where physical-key access is operationally important.
14Suspension and termination
We may restrict or suspend access where reasonably necessary to protect security, investigate abuse, comply with law, address a material breach of these Terms, respond to unpaid charges or protect other users. Where practicable, we will give reasonable notice. Workspace owners can use available controls to export data and delete their workspace, subject to billing and legal requirements.
15Intellectual property
KeyInOut, its software, design, branding and service materials remain the property of their respective owner(s). These Terms grant a limited, non-exclusive right to use the service while the account is permitted to access it. They do not transfer ownership of the software.
16Återkoppling
If you voluntarily provide ideas, bug reports or product feedback, you allow us to use that feedback to improve KeyInOut without an obligation to compensate you. This does not transfer ownership of your confidential business data.
17Liability
To the extent permitted by applicable law, KeyInOut is not liable for indirect or consequential loss, loss of profit, loss caused by incorrect customer data, inappropriate access configuration, failure to maintain reasonable physical-key procedures, or use contrary to these Terms.
Nothing in these Terms excludes or limits liability or statutory rights where such exclusion or limitation is prohibited by law.
18Governing law
These Terms are governed by Swedish law, without prejudice to mandatory rules that apply regardless of this choice. Any dispute should first be raised with support@keyinout.com. Court proceedings will be handled by a competent Swedish court unless mandatory law requires otherwise.
19Changes and contact
We may update these Terms to reflect changes to the service, law, security or commercial arrangements. Material changes will be reflected by updating the date above and, where appropriate, communicated to affected users. Contact: Alexander Arfs, Sweden, support@keyinout.com.
